TDS is one of the main deposit protection scheme in the UK https://www.tenancydepositscheme.com/. Using it from COHO will use their custodial scheme, and is free of charge.
The set-up of the integration between TDS and your COHO account happens in the Onboarding panel settings. The settings are accessible by clicking on the cog at the top-right of the panel of the main dashboard.
You should email TDS api_enquiries@tenancydepositscheme.com and ask them for your API keys.
Go to the TDS website registering https://custodial.tenancydepositscheme.com/register/?group=step1 and create an account for the custodial scheme. Once the account is created, you should email TDS api_enquiries@tenancydepositscheme.com and ask them for your API keys.
Once you receive your API credentials by email, go to the onboarding settings, within the “TDS - Deposit Registration” section, and click on the button “Add TDS Credentials”. You will be able to input your API details here, and submit the form.
No worries, read below the landlord section.
For landlords, the set-up is a bit different. First off, if you already have API credentials, refer to the above steps.
Though usually TDS doesn’t give API credentials to the landlords, so we will host your account as a branch of our COHO TDS head-office.
This means you don’t have to fill-up any form to start registering a deposit, but make sure that you’re setup as the owner of the properties you have in COHO, within the Property Ownership panel of each property. That way we can detect that you can register a deposit without credentials.
Once the first deposit is registered, if you want access to the TDS branch we created for you, you can go to the Onboarding Settings and click on “Create User”. Once done, TDS will email you so that you can setup your account and have access to the TDS dashboard.
Note that this is not required because everything is doable from COHO, but it’s an option that exist if you need it.
Once a tenancy has been set as requiring a deposit, we will show you in the tenancy page the Deposit Management panel, and inside it a very visible TDS section with a pink button “Register deposit”.
You will be able to find this same TDS module on the onboarding view, within the Move-in monies view, once the move-in monies are paid.
Once you have clicked on the Register deposit button, it will take around 10-15 minutes for us to get the confirmation back from TDS.
Since it takes some time to get back the confirmation, we will create an action for you to do it once we have it, so that you can launch the registration process and come back to it once we got the confirmation.
Once we get back the registration confirmation from TDS, we will provide you with the TDS bank account details and the reference to include in your payment.
Once you pay them, you can mark the deposit as paid, so that if we don’t get any answer within a week, we raise an alert about this payment by creating an action.
TDS usually takes 3-5 working days to give us a payment confirmation. Once we do get the payment confirmation, we will get back a Deposit Protection Certificate from TDS. We will bundle it with the TDS prescribed information and TDS leaflet, and create a new Deposit Information record for it, which we will send for acknowledgement to the tenant.
The tenant will receive an email and a push notification saying: “Please review the attached deposit certificate, and return it signed at your earliest convenience. By doing so, you agree to the terms of the deposit certificate."
If you receive a notification from TDS themselves but nothing is showing on COHO, you can click on the button “Get latest status” in the TDS section and we will get back the protection certificate and kick-off the tenant notification procedure.
If you’re using the TDS deposit section within the onboarding view, you can also find all of this information within the Deposit Management panel of the tenancy/room.
