Property Compliance

In this section we will look at all compliance document panels at property level. 

Gas Safety Certificate (GSC)

Click into the property you wish to add a Gas Safety Certificate for and navigate to the Gas Safety Certificate panel. Click to ‘show panel content’.

Remove: Will remove the document from the panel.

View: Will allow you to view the document. 

Download: Will allow you to download the document.

+New Certificate:

Valid from: Enter the date the document is valid from. You can use the calendar prompt or type the date in the correct format.

Valid to: Enter the date the document is valid until. You can use the calendar prompt or type the date in the correct format.

Notes: Enter any notes you may have regarding the document being added.

Files: Upload a copy of the valid Gas Safety Certificate.

You can automatically serve the documents via email to all existing and future tenants. If tenants have been invited to their My COHO dashboard, they will also be notified to log in and acknowledge the new document. 

‘Add’ the document or ‘cancel’

Boiler Servicing

Click into the property you wish to add a Boiler Servicing record for and navigate to the Boiler Servicing panel. Click to ‘show panel content’.


Remove: Will remove the document from the panel.

+Add new service information

Valid from: Enter the date the document is valid from. You can use the calendar prompt or type the date in the correct format.

Notes: Enter any notes you may have regarding the document being added.

Files: Upload a copy of the valid Boiler Servicing Report.

‘Add’ the document or ‘cancel’

Boiler Servicing Settings Cog: The Boiler Servicing settings cog can be located in the top right corner of the panel. 

Off: The panel is off or turn the panel off.

Manual: Default on setting. Here you can configure further.

Boiler Servicing triggers a yearly service reminder. 

How many weeks before it’s due should we remind you?: Options vary from 1 week to 6 weeks. 

Save: Saves the changes for the property selected.

Save for all properties: Saves the changes for all properties across the account.



Energy Performance Certificate (EPC)

Click into the property you wish to add an Energy Performance Certificate for and navigate to the Energy Performance Certificate panel. Click to ‘show panel content’.

Remove: Will remove the document from the panel.

View: Will allow you to view the document. 

Download: Will allow you to download the document.

+Add a new certificate

Valid from: Enter the date the document is valid from. You can use the calendar prompt or type the date in the correct format.

Valid to: Enter the date the document is valid until. You can use the calendar prompt or type the date in the correct format. 

Current Score: All EPC documents display a current score. 

Potential Score: All EPC documents display a potential score. 

Rating: All EPC documents display a rating. 

Notes: Enter any notes you may have regarding the document being added.

Files: Upload a copy of the valid Energy Performance Certificate.

You can automatically serve the documents via email to all existing and future tenants. If tenants have been invited to their My COHO dashboard, they will also be notified to log in and acknowledge the new document.

Click into the property you wish to add an Electrical Installation Condition Report for and navigate to the Electrical Installation Condition Report panel. Click to ‘show panel content’.

Remove: Will remove the document from the panel.

View: Will allow you to view the document. 

Download: Will allow you to download the document.

+Add a new report

Valid from: Enter the date the document is valid from. You can use the calendar prompt or type the date in the correct format.

Valid to: Enter the date the document is valid until. You can use the calendar prompt or type the date in the correct format.

Notes: Enter any notes you may have regarding the document being added.

Files: Upload a copy of the valid Electrical Installation Condition Report.

Click into the property you wish to add Fire Safety information for and navigate to the Fire Safety panel. 

This panels covers: Emergency Escape Lighting Test, Emergency Escape Lighting Test Certificate, Fire Alarm Test, Fire Alarm Test Certificate, Fire Blankets Full Test, Fire Blankets Visual Test, Fire Extinguishers Test, Fire Risk Assessment, Fire Risk Assessment Review, Fire Suppression System Inspection, Heat Alarm Test and Smoke Detector Test. Click to ‘show panel content’.

How frequently do you want to carry out the check?: Use the drop down box to enter how frequently the check should take place.

How many weeks before it’s due should we remind you?: Use the drop down box to enter how many weeks before we should remind you.

Allow tenants to carry out this check: Toggle to allow tenants to carry out the check.

Guidance to tenants: Enter clear instructions on how the tenants should complete the check.

How long after should the manager be alerted if it hasn’t been carried out by housemates?: Use the drop down box to enter how long after you should be notified if the check has not been carried out by the tenants.

Save: Saves the changes for the property selected.

Save for all properties: Saves the changes for all properties across the account.



HMO Licence

Click into the property you wish to add a HMO Licence for and navigate to the HMO Licence panel. This section applies to HMOs only. Click to ‘show panel content’.
Remove: Will remove the document from the panel.

View: Will allow you to view the document. 

Download: Will allow you to download the document.

+Add new HMO Licence information

Valid from: Enter the date the document is valid from. You can use the calendar prompt or type the date in the correct format.

Valid to: Enter the date the document is valid until. You can use the calendar prompt or type the date in the correct format.

HMO Licence Number: Enter the valid HMO Licence number from the document.

Notes: Enter any notes you may have regarding the document being added.

Files: Upload a copy of the valid HMO Licence.

You can automatically serve the documents via email to all existing and future tenants. If tenants have been invited to their My COHO dashboard, they will also be notified to log in and acknowledge the new document. 

‘Add’ the document or ‘cancel’

HMO Licence Settings Cog: The HMO Licence settings cog can be located in the top right corner of the panel. 

Off: The panel is off or turn the panel off.

Manual: Default on setting. Here you can configure further. 

Remind me to update the council when there is a new Gas Safety Certificate: Toggle this on if you need reminders to send a new Gas Safety Certificate to the local council.

Create annual reminder actions (serving as reminder to send the council any updated documentation or to carry out any other action required): Toggle this on if you need reminders to send any other documentation yearly to the local council.

Save: Saves the changes for the property selected.

Save for all properties: Saves the changes for all properties across the account.


Portable Appliance Test (PAT)

Click into the property you wish to add a Portable Appliance Test for and navigate to the Portable Appliance Test panel.  Click to ‘show panel content’.

Remove: Will remove the document from the panel.

View: Will allow you to view the document. 

Download: Will allow you to download the document.

+Add new test information 

Date Completed: Enter the date the test was completed. You can use the calendar prompt or type the date in the correct format.

Number of devices tested: Enter the number of devices tested in the document.

Notes: Enter any notes you may have regarding the document being added.

Files: Upload a copy of the valid document.

Portable Appliance Test Settings Cog: The Portable Appliance Test settings cog can be located in the top right corner of the panel.
 

Off: The panel is off or turn the panel off.

How frequently would you like to be reminded to carry out a PAT?: Use the drop down box to specify the period. 

How many weeks before it’s due should we remind you?: Use the drop down box to specify the period.

Health & Safety

Click into the property you wish to add Health & Safety information for and navigate to the Health & Safety panel. This panel covers: Carbon Monoxide Detector checks, Legionella Risk Assessments / Reviews and Asbestos Monitoring. Click to ‘show panel content’.

+Add new Carbon Monoxide Detector Check

Date Completed: Enter the date that the check was completed. You can use the calendar prompt or type the date in the correct format.

Notes: Enter any notes you may have regarding the document being added.

Files: Upload a copy of the valid document.

Mortgage Renewal

Click into the property you wish to add Mortgage Renewal information for and navigate to the Mortgage Renewal panel. This section applies to owned properties only. Click to ‘show panel content’. 

Remove: Will remove the document from the panel.

View: Will allow you to view the document. 

Download: Will allow you to download the document.

+Add new mortgage information



Start Date: Enter the date the mortgage started. You can use the calendar prompt or type the date in the correct format.

Product Period: Enter the mortgage period. Use the drop down box to make your selection. 

Fixed Term End Date: Enter the date of the fixed term end date. You can use the calendar prompt or type the date in the correct format.

Property Value: Enter the value of the property. 

Mortgage amount: Enter the amount the mortgage is for.

Monthly payment: Enter the monthly repayment amount. 

Mortgage type: Choose the mortgage type from the drop down. 

Provider: Enter the name of the mortgage provider. 

Notes: Enter any notes you may have regarding the document being added.

Files: Upload a copy of the valid document.

‘Add’ the document or ‘cancel’

Mortgage Renewal Settings Cog: The Mortgage Renewal settings cog can be located in the top right corner of the panel.

Off: The panel is off or turn the panel off.

Manual: Default on setting. Here you can configure further.

Click into the property you wish to add Building Insurance information for and navigate to the Building Insurance panel. Click to ‘show panel content’.

Remove: Will remove the document from the panel.

View: Will allow you to view the document. 

Download: Will allow you to download the document.

+Add new insurance information

Valid from: Enter the date the document is valid from. You can use the calendar prompt or type the date in the correct format.

Valid to: Enter the date the document is valid until. You can use the calendar prompt or type the date in the correct format.

Insurance Type: Drop down allows for ‘Building only’, ‘Building & Continents’ or ‘Contents only’. 

Provider: Here you can enter the name of the insurance provider.

Price: Here you can enter the price of the insurance. 

Notes: Enter any notes you may have regarding the document being added.

Files: Upload a copy of the valid insurance documents.

Building Insurance Settings Cog: The Building Insurance settings cog can be located in the top right corner of the panel.

Off: The panel is off or turn the panel off.

Manual: Default on setting. Here you can configure further.
