The Occupancy panel in COHO allows you to see all tenants and their AST dates, units, tenancy changes and renewals all in one place with various filtering options.
Units
Units > All Units: Here you can view all properties, room numbers, rent amounts, availability and if there is an active tenancy.
Units > Unoccupied Units: Here you can view all unoccupied properties, rooms, rent amounts, available from date and any information regarding the tenancy i.e., an onboarding is currently ongoing.
Units > Available Units: Here you can view all available properties, rooms, rent amounts, available from dates and any information regarding the tenancy i.e., an onboarding is currently ongoing.
Units > Available Today: Here you can view all available properties, rooms, rent amounts, available from date and any information regarding the tenancy i.e., an onboarding is currently ongoing.
Occupants
Occupants > All Occupants: Here you can view all properties, rooms, tenants names, rent amounts, start and fixed term end dates, availability and status.
Occupants > Fixed Term: Here you can view all fixed term properties, rooms, tenants names, rent amounts, start and fixed term end dates, availability and status.
Occupants > Becoming Periodic: Here you can view all properties, rooms, tenants names, rent amounts, start and fixed term end dates, availability and status that are becoming periodic.
Occupants > Periodic: Here you can view all properties, rooms, tenants names, rent amounts, start and fixed term end dates, availability and status that are periodic.
Tenancy Changes
Tenancy Changes > Change Overs: Here you can view any tenancy change overs.
Tenancy Changes > Moving In: Here you can view who is moving into a property or room.
Tenancy Changes > Moving Out: Here you can view who is moving out of a property or room.
Tenancy Changes > Prospective: Here you can view who is going through the COHO Onboarding process. See also Onboarding.
Renewals
Renewals > Awaiting Tenant: Here you can view progress of any renewal of tenancy agreements within the system. This step is awaiting for the tenant to complete an action.
Renewals > Awaiting Guarantor: Here you can view progress of any renewal of tenancy agreements within the system. This step is awaiting for the guarantor to complete an action.
Renewals > Awaiting Manager: Here you can view progress of any renewal of tenancy agreements within the system. This step is awaiting for you to complete an action.
Tenant Icons
Blue icon: The tenant has been invited to COHO and accepted the invitation so they have access to their dashboard. See also 26. Tenant Dashboard.
Orange Icon: The tenant has been invited to COHO but they have not accepted the invite.
Grey icon: The tenant has not been invited to COHO.
Invite all tenants
It’s worth noting that if you’re using COHOs onboarding workflow to onboard a brand new tenant into the system, it immediately sends an invite to the tenant asking them to create their profile and join you on the onboarding workflow. See also Onboarding.
The ‘Invite all tenants’ button that is located on the Occupancy panel is to be used to invite your existing tenants or any tenant that has not gone through COHOs onboarding workflow.
Ensure you have added the tenants email address and mobile phone number into the system at room level in order for the invites to be received. The tenant will receive an SMS and email with a unique link to click for them to access their dashboard. Tenants must be invited from within your account.
We have created an editable template to inform your tenants you’re going to be using COHO and the reasons as to why they should accept your invite. This document can be located here for your use:

I wanted to let you know that from (insert date) we are moving to a new management platform.
The new platform is called COHO and comes with some significant improvements, which will allow us to provide you an even better service throughout your stay in one of our shared homes.
You don’t need to do anything until you receive the invite from COHO.
Please look out for your invite where you will be asked to create your login on the website before installing the COHO app on your mobile.
As well as a load of other cool stuff, it will be the go-to tool that we use for managing maintenance and general communication, so it’s super important to us that you use COHO to report any future issues about your tenancy or the property.
We’ve kept it simple for you to join COHO - just 3 steps.
On (insert date):
We will be sending out an invite to all of our tenants to join the COHO app. This will come by email from no-reply@coho.life and by text message to your mobile.
Simply click on the special link provided to signup.
Download the COHO app on your iPhone or Android and login to have access to all of your management needs to hand.
