Amending deposit record or adding deposit record on adding tenancy

There may be circumstances where the deposit type needs to be changed or, when adding a tenancy to COHO in the first instance, you need to add a deposit record to the tenants rent schedule.

Changing the Deposit type

Navigate to the tenancy / room that requires changing and click 'edit' underneath the Active Tenancy.


On 'Tenant money held? (e.g. Deposit)'  you will need to make the required changes. Use the drop down menu to select the correct deposit type and enter / change the amount if required. 

Please note that if you are changing the amount, this will need to be reflected on the tenants rent schedule as the system will not update this automatically.
Also, it is good practice to ensure the correct information is also entered on the tenants 'Deposit Management' panel. 


Updating the Deposit record on the Rent Schedule

If the Deposit amount has been changed, you may need to update the tenants rent schedule.

First, navigate to the tenants Rent Collection panel and click to 'Show panel content'

If you HAVE added a Deposit record: Identify the deposit record on the Rent Collection panel and click to 'view' the record. 

You will then need to click 'Dissociate' which will un-assign the deposit record. Once this has been completed, you will need to click '+ Money Due' to create a new Deposit record with the updated Deposit amount.

Once the new Deposit record has been added, you can then reconcile the record. 

Adding a Deposit record when adding a tenancy


If you HAVE NOT added a Deposit record: Navigate to the Rent Schedule and you can go ahead and click '+ Money Due' to add the record, and then reconcile the deposit record.
